Privacy Policy

WHO WE ARE

We are Core Vision Pty Ltd (ABN  83 094 542 971).  We provide access to and use of the myBuildingsTM facilities management system on a Software as a Service (SaaS) basis. Access to the system is facilitated by means of websites (the “Sites”) which are available through a Web Browser, the Google Play Store and the Apple App Store.   The “Sites” are used by our clients to manage and maintain their real estate.  To deliver these services, we may need to collect, use, retain and disclose certain personal information.

This Privacy Policy will refer to:

Core Vision Pty Ltd as “Core Vision”, “we”, “our” or “us”.
myBuildings SaaS websites, myBuildings Check-In Application and our corevision.com.au website as “Sites” or “myBuildings App”.
Our Clients as “our customers” or “our clients”.

THE PURPOSE OF OUR PRIVACY POLICY

We take your privacy seriously and are committed to protecting your personal information.  This Privacy Policy outlines how we collect, use, disclose and store your personal information in accordance with the Australian Privacy Principles (APPs) as outlined in the Privacy Act 1988 (Cth).

WHO DOES OUR PRIVACY POLICY APPLY TO

Our Privacy Policy applies to any persons whose personal information we collect including:

  • Individuals who provided their personal information through our website forms.
  • Prospective clients (such as those that have requested a demonstration).
  • Current or Former Employees.
  • Individuals who have signed up to our newsletter.
  • Clients who are using our Sites to collect Personal Information.

 

COLLECTION OF PERSONAL INFORMATION

What is Personal Information?

The Privacy Act defines personal information as information or an opinion about an identified individual, or an individual who is reasonably identifiable whether the information or opinion is true or not; and whether the information or opinion is recorded in a material form or not.[1]

It includes identifiable information such as your name, age, gender, address, contact information and sensitive information.  Sensitive information is information (not limited to) membership of a trade union, criminal record, health information and biometric information.

What type of Personal Information do we collect?

We collect different types of personal information based on the relationship we have with you. Examples of this type of information include:

Contact Information such as your name, country, phone number, company name, your role in the company, and work email.

Account Setup such as your first name, last name, email address, phone number and password.

System Data such as your computer or device, device type, operation systems and IP address.

Metadata and Personal Identifiable Information may be collected using our Sites for the purpose of keeping accurate records between third parties.  An example would be a maintenance contractor responding to a work order relating to a property on behalf of an end user.

We may collect the following information while using our Sites:

In App Use such as Incident & Safety records, Work Requests Records, Quoting Records, Contractor Records, and Invoicing Records.

User Generated Data such as text, photos and videos which is associated with the accounts or emails used to create an account with our Sites.

Information that is collected while using our Website and Application.

We collect information about how you use our website and application which helps us improve the delivery of our web pages and measuring traffic on the Sites.

Technical Data that we collect about your computer or device includes (not limited to) your device type, operation system and IP address.

Unsolicited Personal Information

Unsolicited personal information refers to personal data that we receive without actively collecting it. If we receive unsolicited personal information, we will assess its relevance to our business functions and reach out to you to discuss the collection of such information and obtain consent if necessary.  Any unsolicited information which is not collected as part of our business function will be destroyed or de-identified provided it is lawful and reasonable to do so.

USE OF YOUR PERSONAL INFORMATION

We use your personal information for the purpose it was collected. We may also use your personal information if required by law or for which you have consented.

When we collect your personal information, we may use it for:

  • Managing our ongoing relationship with you.
  • Performing activities related to management, development, and improvement of our Sites.
  • Authorisation to login and use for a user account.
  • Authentication purposes.
  • Sharing information about our offerings and periodic newsletters.
  • Internal record keeping.
  • The creation or the development of business intelligence or data analytics.
  • Maintaining accurate records in multi-party transactions.
  • Managing or resolving any legal matters, complaints, or issues.
  • Complying with our legal obligations.

 

DISCLOSURE OF YOUR PERSONAL INFORMATION

We may disclose information, where reasonably required, for the purpose of conducting our business or if required by law.  For processing purposes, we may need to disclose personal information to our service providers and/or 3rd parties for operating and improving the Sites.

We may need to disclose personal information for the purpose of assisting with functions such as email transmission, cloud hosting, data hosting and aspects of our technical and customer support.

We may also need to disclose information about you if we believe that your actions are inconsistent with our Terms of Service or related guidelines and policies, ensuring the integrity of our platform and maintaining a secure environment for all users.

Disclosure of Personal Information to Overseas Recipients

Core Vision offices are based in Australia, however, we may disclose certain personal information to service providers or 3rd parties for the purpose of managing our ongoing relationship with you. 

STORAGE AND SECURITY OF INFORMATION

Security of Personal Information

Core Vision takes all reasonable steps to prevent unauthorised access, disclosure, modification, or loss of information.  We also take steps to protect your personal information when transmitting it over the internet.

We further have implemented a range of security controls and policies to protect your personal information which include:

  • Employee training on Privacy and Security.
  • System security such as access controls, firewalls, intrusion detection and virus scanning software.
  • Policies and procedures on information handling, security, and privacy.

 

Storage of Personal Information

 
We store and transmit your personal information for:

  • Detection and prevention of abuse on our Sites, illegal activities and breaches of our Terms and Services.
  • Litigation, investigation, auditing, and compliance practices or to protect against legal claims.
  • To maintain financial and legal records for all transaction which occur on our Sites.

Internal Access to your Personal Information

We limit access to your data within our organisation to only those individuals who require it to provide you with the Products and Services that you license from us, to contact you, and to respond to your inquiries. These staff members may be on teams such as software development, operations management, and customer support. Employees are granted access to data that is relevant to their team on a ‘need-to-know’ basis.

CHANGES TO OUR PRIVACY POLICY

We reserve the right to update our Privacy Policy periodically. We will notify you of any changes by posting the updated Privacy Policy on this page. If we make any material changes to the Policy, we will notify you via email, through a notification posted on the Services, or as required by applicable law. You can check the date at the bottom of this page to see when the Policy was last updated. We recommend that you review this Privacy Policy periodically for any changes. Changes to this Privacy Policy will be effective from the date they are posted on this page. 

EXEMPTIONS TO THIS PRIVACY POLICY

Our Sites may contain links to other websites that are not operated by us. If you click on a third-party link, you will be directed to that third party’s site. We strongly advise you to review the Privacy Policy of every site you visit.

Please note that we are not responsible for the privacy practices of these third-party sites. Third parties are under no obligation to comply with this Privacy Policy with respect to Personal Information that you provide directly to those third parties or that those third parties collect for themselves. We do not control the third-party sites that may be accessible through our Services. 

ACCESSING AND UPDATING PERSONAL INFORMATION

You have the right to access and correct any personal information that we hold about you. If you believe that any of the personal information, we hold about you is inaccurate, you may request that we correct it.

Handling your request to Access your Personal Information

 
We will respond to your request to access and correct your personal information in a timely manner. In some circumstances, we may refuse your access to your personal information if:

  • The information may pose a threat to the life or health of someone.
  • By granting you access may have an impact on another person’s privacy.
  • The information relates to an anticipated or existing legal proceeding.
  • Giving access to this personal information would be unlawful.
